The Uploaded files and folders page provides administrators with a centralized location to view, manage, and audit all files uploaded across your BeDesk instance. Whether files are attached to tickets by customers or embedded in knowledge base articles by agents, you can find them all here. This page is accessible only to users with admin privileges.
The main part of the page is a comprehensive list of all uploaded files. Here's a breakdown of the information displayed for each file:
Name: Shows the original filename and a description.
Uploader: Identifies which agent or customer uploaded the file.
Public: A green checkmark indicates if the file is publicly accessible (e.g., in a public article). If unchecked, the file is private (e.g., a ticket attachment).
Type: Displays the file format, such as Word, Image, Video, or Spreadsheet.
Size: Shows the file's size on disk.
Date: The date the file was last updated or uploaded.
Actions: On the far right, a preview icon allows you to view the file directly in your browser without downloading it.
To quickly find specific files, you can use the powerful search and filtering tools.
Located at the top of the page, the search bar lets you instantly search for files by their name.
For more advanced searches, click the Filter button on the right. This opens a panel with several options to narrow down your results:
Type: Find all files of a specific format (e.g., show only JPG images).
Visibility: Filter by public or private files.
Date created: Use the date picker to find files uploaded within a specific timeframe.
Last updated: Find files that were modified recently.
Uploader: Isolate files uploaded by a specific agent or customer.
After setting your criteria, click the Apply button to see the results. You can clear your selections at any time by clicking Clear.
This page is not just for viewing; it's for active management.
Previewing: Click the eye icon at the end of a file's row to quickly preview it. This is useful for checking an image or document's content without having to download it first.
Deleting: To remove one or more files, use the checkboxes to the left of the file names. Once you've selected the files, a delete option will appear, allowing you to permanently remove them from your server.
Note that BeDesk will periodically remove some unused files. For example if you've uploaded an image for a help center article and removed it from all articles later on, this image will be considered unused and will be automatically deleted after some time.
